How to Write a Technical RFQ for Optical Transceivers

A usable quotation starts with one controlled requirement table, not a list of ambiguous part names.

Separate required, preferred and optional fields. Use one row per orderable item with a stable line ID so every supplier answers the same engineering and commercial scope.

Ask for deviations explicitly and require evidence references, sample gates, production controls and delivery basis. A low price without matched scope is not comparable.

MingApex coordinates China-based sourcing, OEM execution and independent quality-control evidence. It is not presented as the product manufacturer or an accredited laboratory; supplier identity, method and evidence boundary remain explicit.

01 / Decision inputs

Freeze the variables before comparing options

Issue one version-controlled line-item matrix.

Required input What to record How it changes the decision
Host tuple Platform, software, port mode and FEC Defines compatibility target.
Optical spec Rate, form, reach, wavelength and fibre Defines physical product.
Link context Loss, connectors, temperature and peer Defines operating boundary.
Coding/OEM EEPROM target, label, serial and packaging Defines identity work.
Quantity Sample, pilot, production and forecast Drives MOQ and capacity.
Evidence Required reports, photos, traceability and gate Makes claims auditable.
Commercial Currency, Incoterm, destination, warranty and date Makes landed offers comparable.
02 / Engineering comparison

Compare on measurable engineering criteria

Normalize every response before ranking suppliers.

01

Compliance column

Require comply/deviate/unknown against every line.

02

Assumption log

Expose substituted wavelengths, coding, lead time or terms.

03

Evidence index

Name each offered document and responsible source.

04

Price basis

Separate sample/NRE, unit, freight, tax and tooling.

05

Milestones

Date sample, approval, production and shipment gates.

03 / Product anchors

Live product examples for a controlled starting point

These live SKUs anchor the physical family. Suitability still depends on the documented host, fibre path and validation scope.

A product page is a starting specification, not universal compatibility or lot-acceptance evidence.

04 / Decision patterns

Choose by evidence, not shorthand

A quote is comparable only when scope and exceptions match.

Preferred path

Release the RFQ when every line has a stable ID, required technical tuple, evidence gate, quantity and commercial basis.

Conditional path

Allow alternatives only in a separate deviation column with technical impact, price effect and validation requirement.

Stop and redesign

Stop evaluation when a supplier answers a different specification or hides critical assumptions.

Revalidation trigger

Reissue or revise the RFQ after any host, specification, quantity, evidence, OEM artwork, delivery basis or deadline change.

05 / Validation path

From requirement lock to approved order line

Archive the issued RFQ, supplier response and clarification log as one package.

  1. 1

    Freeze the requirement

Record the exact host, port, data rate, reach, fibre path and commercial scope for Writing a technical RFQ.

  2. 2

    Compare complete architectures

Include optics, fibre, connectors, power, cooling, software and operational constraints—not only unit price.

  3. 3

    Define measurable acceptance

Set loss, telemetry, link, error, traffic and documentation criteria before selecting the sample.

  4. 4

    Validate the named configuration

Test the serialized sample on the recorded setup and close deviations with an owner and deadline.

  5. 5

    Bridge approval to production

Match the approved identity, revision, coding and critical attributes to the production lot and repeat order.

06 / Risk control

Failure modes that invalidate the decision

Part-name RFQ

Reach labels replace engineering requirements.

Hidden deviation

A supplier prices a different item.

Price-only rank

Freight, evidence and qualification cost are omitted.

Moving baseline

Clarifications change scope without version control.

08 / Buyer questions

Guide-specific questions

What does this guide decide?

An RFQ requests an offer; it does not approve compatibility, quality, supplier claims or a production lot. Every quoted assumption and exception must remain visible.

What must the buyer provide?

Provide the engineering owner, line-item list, host/link tuples, volumes, required evidence, destination and decision dates.

When is the preferred path conditional?

Allow alternatives only in a separate deviation column with technical impact, price effect and validation requirement.

What must be revalidated?

Reissue or revise the RFQ after any host, specification, quantity, evidence, OEM artwork, delivery basis or deadline change.

Controlled next step

Turn the requirement into a comparable RFQ.

Send the host, optics, quantity, evidence and delivery fields to open a structured RFQ.
