Commercial overview

Optical transceiver inspection must answer an order decision

Quality inspection in China is useful only when the inspector knows what configuration, lot and decision are being controlled. A generic factory visit or photo set cannot prove that the delivered modules match the approved host coding, optical specification, label, quantity and packing. The inspection plan should begin with the current purchase-order revision and the accepted sample or technical baseline.

The evidence scope should distinguish identity checks, workmanship or visual checks, quantity and packing verification, selected functional or optical tests and documents supplied by the production source. Test methods, equipment, calibration status, sample identity and raw results should remain traceable. A certificate image or summary statement is not a substitute for order-linked evidence.

MingApex coordinates inspection scope and evidence against the named order. We do not claim that every test is available or that a limited sample proves an entire future production history. The written inspection agreement defines the lot, sampling, method, acceptance limit, responsibility and action for nonconformity.

Decision matrix

Inspection questions that must become release criteria

Define the decision before collecting evidence. Every check needs a method, sample identity, acceptance limit and owner.

Open questionRequirementWhy it mattersRelease record
Inspection lotPO line, configuration, source, quantity, lot/serial range and statusEvidence without a named lot cannot release the delivered quantity.Lot identification sheet
Identity and configurationPart, coding/management data, label, source and approved referenceA visually similar module can contain a different approved boundary.Identity comparison record
Sampling and methodSample size, selection rule, test equipment, calibration and procedureA result is not interpretable without knowing how the sample was chosen and tested.Method and raw-result file
Acceptance limitPass/fail value, tolerance, defect class and escalation rule“Looks acceptable” cannot control a disputed shipment.Signed inspection disposition

Supply options

Supply options

01

Pre-shipment lot inspection

Verify order identity, selected checks, quantity, labels and packing before the agreed release point.

02

Golden-reference comparison

Compare production identity and visible configuration with the approved sample or record, then escalate material differences.

03

Packing and quantity evidence

Connect carton, label, quantity and destination records to the same released lot and PO lines.

Buyer scenarios

Buyer scenarios

First order from a new source

The first lot needs configuration identity, sample reference, selected functional or optical evidence and packing verified against one approved PO revision. Unknown evidence remains explicit rather than being inferred from factory material.

Repeat order after a change

A source, component, firmware, coding or artwork change should be visible before inspection. The plan targets the affected risk and determines whether the previous sample can still authorise release.

Mixed-SKU consolidated shipment

Each line can have a different source, sample status and evidence set. Release line by line, then verify that cartons, quantities and destination marks match the consolidated packing plan.

Controlled workflow

Controlled workflow

  1. 01 · Define

Freeze the current PO, specification, approved sample, configuration, lot and release decision before inspection.

  2. 02 · Structure

Write sampling, method, equipment, acceptance limits, defect classes and nonconformity actions before evidence is collected.

  3. 03 · Execute

Identify the lot, select samples by the agreed rule and retain raw results, photos, labels and quantity observations.

  4. 04 · Decide

Classify every finding against the written criterion; assign hold, rework, reinspection, concession or rejection ownership.

  5. 05 · Preserve

Release only the named quantity and revision, then connect the evidence and closed actions to shipping and repeat-order records.

Evidence and release control

Evidence and release control

Controlled baseline

One current record defines the exact inspection lot and release decision, assumptions, open questions, owner and acceptance boundary.

Raw and attributable evidence

Results, photos, files, statements or artwork identify their source, configuration, method, date and order context.

Decision traceability

The approved conclusion separates tested facts, document inference, supplier statements, buyer assumptions, limitations and remaining actions.

Order and change connection

The released revision is connected to PO lines, quantity, labels, evidence and the event that requires notice, expiry or revalidation.

Commercial planning

Commercial planning

Commercial scope should follow the named work, not a vague service label. Price and effort can change with lot size, sampling, location, test method, equipment, evidence depth and reinspection; the written quotation should state included deliverables, exclusions, buyer inputs and the event that creates additional work.

Separate preparation, buyer clarification or approval, execution, evidence review, rework or reinspection and final handover. A single unexplained lead time hides the step and owner that actually controls completion.

The quotation should define currency, payment, validity, quantity or lot boundary, travel/shipping where relevant, third-party costs, evidence format, revision limit and responsibility for delays caused by missing buyer information.

Before commitment, keep confirmed facts, source statements, engineering assumptions, accepted deviations and buyer decisions separate. An unresolved field remains open; silence does not transfer ownership or create acceptance.

The completed work must connect to a named order or programme revision. If the source, configuration, quantity, route, artwork, method or acceptance boundary changes, reopen the affected decision rather than automatically carrying forward the earlier result.

Procurement questions

Procurement questions

What information is required to start?

Provide the current PO/specification, configuration and lot, approved sample, required checks, sampling and acceptance limits, packing scope and target release date.

Can the scope be defined after the work begins?

Clarifications can be added, but the initial decision, configuration, responsibility and acceptance boundary should be written first. Otherwise evidence and prices may answer different questions.

Does a successful result apply universally?

No. It applies only to the recorded configuration, source, host or route, method, evidence and decision boundary. Future changes may require targeted review or revalidation.

How are deviations and unknowns handled?

Each remains visible with an owner and consequence. Accepted deviations record scope, expiry and revalidation trigger; unknowns do not become accepted requirements through silence.

Are price, timing and deliverables fixed on the page?

No. Exact configuration, quantity or lot, source, work scope, evidence, price, payment and timing are confirmed in the written quotation for the named requirement.
